Digital storage of all paper documents is vital to a successfull outsourcing implementation.
We ask you to scan all Purchase Invoices, Supplier Statements, Bank Statements, etc. There are readily available scanners that can scan approximately 30 pages at a time. You have or probably have seen scanners that look like photocopy machines. You open a lid, place an invoice, close the lid and press scan. There are also more advanced scanners, which cost under £1,000, which have a hopper (like the place you put blank paper in your laser printer). These hoppers hold about 30 pages and when you press scan, the scanner reads all 30 pages and creates 30 images.
We collect these images and process them for you. So all you have to do is open the post, remove the contents and put them in the hopper and press scan.
You can also scan all Proof of Deliveries (PODs). No filing will then be needed on your premises for Copy Sales Invoices or PODs.
No filing will be needed on your premises but all scanned Invoices will be available at the push of a button or click of a mouse. All these scanned documents are also backed up offsite.
